Privacy notice.
How we look after your information.

Who we are
This notice explains how I-Galaxy Media Limited (“iGalaxy”, “we”, “us”) collects and uses personal information through igalaxy.co.uk. iGalaxy is the umbrella company for our services, including our app development work and the Shoutloudr® brand consultancy.
We are the controller of the personal information described here. We are a company registered in England & Wales (company number 05881572) with our registered office at 4th Floor Hamilton House, Mabledon Place, London, England, WC1H 9BB.
For any privacy question or request, email [email protected], call 020 7993 8282 or write to us at our registered office.
What we collect
We keep the information we collect to a minimum. We collect:
- Enquiry details: when you use our contact form, your name, email address, phone number, the department and subject you choose, and your message.
- Invitation confirmations: if we have invited your organisation to work with us and you confirm through our confirmation page, the hotel or organisation name, your name and your email address.
- Correspondence: anything you send us by email or tell us by phone after you get in touch.
- Technical information: when you visit the site, our servers and security providers process information your browser sends, such as your IP address, browser type, device information and the pages requested. We use this to deliver the site, keep it secure and prevent abuse, including limiting repeated form submissions.
We do not use analytics, advertising or social media tracking on this website, and we do not build profiles of visitors.
How and why we use it
| Purpose | Information | Lawful basis |
|---|---|---|
| Replying to your enquiry and discussing a possible project | Enquiry details, correspondence | Legitimate interests in responding to people who contact us. If you ask us to take steps before entering into a contract, such as preparing a proposal, this is also necessary for that purpose. |
| Processing an invitation confirmation and arranging next steps | Invitation details, correspondence | Legitimate interests in following up an invitation you have accepted |
| Protecting the website and our forms from spam, fraud and attacks | Technical information, security check results | Legitimate interests in keeping our website and systems secure |
| Keeping records and dealing with legal claims | Any of the above, where relevant | Legitimate interests, and compliance with legal obligations |
We will not add you to a marketing list because you made an enquiry. If we would like to send you marketing in future, we will only do so where the law allows and you can opt out at any time.
You do not have to give us any information, but we need your name, email address, phone number and message to reply to an enquiry through the form. You can also simply call us.
Spam protection with Cloudflare Turnstile
Our contact form uses Cloudflare Turnstile to check that a submission comes from a person rather than an automated program. Turnstile runs a check in your browser and Cloudflare processes technical information about your browser and device for this purpose. Our server confirms the result with Cloudflare before the enquiry is sent.
Cloudflare acts as our service provider for this check. You can read more in Cloudflare’s Turnstile privacy addendum and privacy policy.
Who we share it with
We do not sell your personal information. We share it only where necessary with:
- our website hosting and server management providers;
- our email provider, which delivers form submissions to our team;
- Cloudflare, for website security and the Turnstile check;
- professional advisers, such as accountants and lawyers, where needed;
- regulators, law enforcement or courts where the law requires it.
Our providers act on our instructions and must keep your information secure. Enquiries are only seen by the members of our team who need them to reply.
International transfers
Some of our providers, including Cloudflare, may process information outside the UK, for example in the European Economic Area or the United States. Where that happens we make sure appropriate safeguards are in place, such as UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework where the provider is certified) or the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries and invitation confirmations that do not lead to work: up to 2 years from our last contact, then deleted.
- Enquiries that lead to a project: for as long as we work together and then up to 6 years, in line with our contractual and accounting records.
- Form session data: deleted when your browser session ends or the server session expires.
- Server and security logs: kept for a short period, normally no longer than 90 days, unless needed to investigate a security problem.
Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to our use of your information where we rely on legitimate interests;
- ask for information you gave us to be transferred to you or another organisation, where this applies.
To make a request, email [email protected]. We may need to confirm your identity. We will respond within one month, and there is normally no charge.
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).
Security
We protect the site with HTTPS, protect our forms against forged requests and spam, limit repeated submissions, and restrict access to enquiries to the people who need it. No system is completely secure, so please avoid sending sensitive personal information through the contact form.
Links to other websites
Our site links to other websites, such as Google Maps for directions to our offices. Those sites have their own privacy policies, and we are not responsible for how they use your information.
Cookies
We only use cookies that are needed for the site and its forms to work securely. See our cookie notice for details.
